As people prepare to declutter their homes, experts from Peninsula Canada say spring is also a good time to review whether your company’s human resources function is organized and up to date.

Companies should check that employee information, including addresses and emergency contacts, is up to date. If employers are still using paper documents, they should consider switching to digital documents, which take up less space and are easier to organize.
Employers should also ensure that employee policies and handbooks are up to date and comply with any legislative changes. For example, a recent judicial decision in Ontario requires employers to review whether termination provisions in their employment contracts violate the Employment Standards Act.
Peninsula said now is also a good time to prepare for a wave of summer vacation requests. HR consulting firms recommend developing a strong leave policy that tells employees how far in advance they must request time off and clearly outlines the procedures for making requests. The policy should also list the reasons why a request may be denied.
Employers can also take time to review the status of projects. Reviewing deadlines, tasks, and responsibilities can help projects meet deadlines and identify any gaps that may prevent their successful completion.
Finally, HR can check whether the requirements of their job posting are still appropriate for the position. Over time, job postings can be forgotten and become irrelevant—including if a change in office responsibilities changes the requirements.
