About the conference center
The convention center will be closed until 2023 for renovations.
When planning a meeting at the Flynn Foundation Educational Conference Center, please review the information below. Each item below has been expanded to provide additional information.

- appropriate purpose
Typical uses for conference centers include planning and training retreats for boards and staff; goal-setting meetings; communications workshops; joint planning or collaborative efforts among tax-exempt nonprofit organizations. The facility also provides a neutral environment for nonpartisan discussion and presentation of policy development options. The facility is also used for lectures, group presentations and classroom-style educational seminars.
Inappropriate use:
- Fundraising or fee-based events, or events where products are sold or auctioned;
- Meetings designed to promote partisan purposes or specific pending legislation or ballot actions;
- Meetings where the public is invited to attend without prior notification/reply to the sponsoring organization;
- Organize regularly scheduled meetings of the Board of Directors or committees; and
- Private or family events such as weddings and anniversaries.
- no smoking
The Flynn Foundation Educational Conference Center is a smoke-free hotel. Smoking is prohibited inside the building, in the courtyard, or anywhere near any building entrance. Guests wishing to smoke must exit via the Central Avenue or First Avenue exit. Please remind attendees of this before the meeting begins.
- building entrance
Meetings may not start earlier than 9:00 am and must end before 4:00 pm. Please notify the meeting host. There will be no access to the building for setup before 8:30 am. In addition, the door to the west lobby of the building remains locked at all times. Please advise meeting attendees to use only the main (south) lobby door to enter and exit the building.
- Parking
Please instruct attendees to park only in the non-reserved area of the front parking lot. Ridesharing is encouraged as on-site parking is limited to approximately 40 spaces shared by attendees in both conference rooms. Paid overflow parking may be available in the parking lot directly north of the Flynn Foundation; fees are the responsibility of conference attendees. The Convention Center does not validate parking spaces.
- Catering Services
All catering services must be provided and paid for by the sponsoring organization through a catering company approved by the Convention Center. Organizations may not provide their own food or beverages. The meeting host or other host organization representative must be on-site to meet the caterer when they arrive. Microwaves and refrigerators are not available to conference center guests. Alcoholic beverages are not permitted by outside organizations; these include non-alcoholic beer and wine with very low alcohol content (0.05%). As a certified Arizona Green Business, the Flynn Foundation is committed to sustainable practices. We ask that convention center guests bring their own refillable beverage containers to use our filtered water stations. We also ask that caterers or guests are not allowed to bring drinks in plastic bottles. Our preferred catering partners are also committed to reducing waste and providing compostable and recyclable materials wherever possible. We ask that you and your guests join us in placing waste in the appropriate bins (compost, recycling, trash) within the conference center. We appreciate your support of these efforts.
- audiovisual equipment
The conference center’s range of audio-visual equipment is only available by reservation and must be requested when booking the conference space. The meeting moderator or other sponsoring organization representative should arrive at least 15 minutes before the meeting to become familiar with the proper operation of any required audiovisual equipment.
- Meeting room notes
- Do not tack, pin or nail anything to the wall surface. Masking tape is available upon request, and flip charts with adhesive-backed chart paper are also provided in each room.
- Do not move or rearrange furniture. Your meeting room will be set up in a standard room configuration. If you need to make minor adjustments to your room settings, please contact conference center staff or the front desk. If you make any adjustments, be sure to return the room to standard settings before leaving.
- lobby area
Since the conference center building is primarily used for the daily office operations of the Flynn Foundation, please pay special attention to the following:
- Be thoughtful and minimize gatherings in the lobby and cell phone use. Conference center guests should store all food and beverages in the conference room and may not use the lobby area for food or group meetings.
- Guests are not allowed to move or rearrange lobby or patio furniture.
- Please keep the conference room door closed during the meeting. This will help make the room temperature more consistent and provide a sound barrier.
- Media and promotional materials
Promotional meeting materials regarding meetings held at the Flynn Foundation, including press releases and media inquiries, must be shared with the Foundation prior to release. The Foundation reserves the right to edit materials defining the Foundation, its programs and conference facilities. Signs regarding scheduled meetings are posted on internal information kiosks. The use of external billboards, balloons or other promotional materials to attract spectators is not permitted. Organizations intending to hold press conferences at Flynn facilities must request approval during the scheduling process. If the organization anticipates conducting remote live media coverage, the Foundation must be notified in advance so that appropriate preparations can be made. Foundation staff generally do not grant interviews to the media during events unless prearranged.
- Miscellaneous Reminders
- Please remember to bring everything you need for the meeting (e.g. nametag, copy of handout, notepad, pen, computer adapter, etc.). Photocopying services and office supplies are not provided on site.
- Many nonprofit organizations frequently use the conference center’s meeting rooms. Please adhere to approved meeting room usage times and ensure all meeting participants leave the venue by the scheduled end time.
- Please ensure that all compostable materials, recyclable materials and trash are disposed of in the appropriate bins and that audio-visual equipment and supplies are returned in working order at the end of the session.
